  1. Introduction:  Vineland Downtown Improvement District/Main Street Vineland is seeking proposals from qualified digital marketing agencies to provide comprehensive digital marketing, social media marketing, email marketing, and website update services. The selected agency will work closely with our team to enhance our online presence, engage with our audience, and drive our mission forward.

  2. About: Vineland Downtown Improvement District Management Corporation is a [501(c)(3) nonprofit organization dedicated to preserving, protecting, and enhancing the downtown area with its historic and natural assets while raising the value of downtown properties and its businesses.

  3. Scope of Work:
    • Content Posting
      1. Event, News & Content posting across multiple platforms:
      2. Website Blog Posts
      3. Social Media Platforms including Facebook, LinkedIn, Instagram, GMB, and X.
      4. Weekly Email Newsletter Communications

    • Email Marketing
      1. List Management – Ensure email lists are categorized, updated, and maintained. Unsubscribed and bounced email addresses are updated. All lists will be managed in one central location.
      2. Create and send monthly emails to communicate with:
        1. Businesses / Merchants
        2. Consumers
        3. Volunteers
        4. Sponsors
      3. Create and send “One-Off” emails for events or special announcements.

    • Social Media
      • Create and schedule social media posts to run simultaneously with marketing initiatives and events to consistently communicate with audiences.
      • Post new blog posts and updates to social media accounts from the website via RSS feeds.
      • Post updates and events to all social media platforms (Facebook, LinkedIn, Instagram, GMB, and X)

    • Design Services
      • Graphic design and layout ○ Newsletter (Print & Digital)
      • Ad design (Print & Digital)
      •  Flyers
      • Posters & Signage
      • Logo designs for new events or other initiatives

    • Website Update Services
        1. Update events for 2024
        2. Adding new event pages
        3. Update community incentive programs
        4. Hot Topic updates
        5. Create additional forms and payment methods
        6. Add or update sponsorship information
        7. Any updates or additions per request

    • Account and Creatives Management
      • Shared Drive Repository Management – All creatives, content, research, and account information (Google, Facebook, Linked In, etc.) will be organized on a shared Google Drive for access.

  4. Proposal Requirements: Interested agencies should submit a proposal that includes the following:
    • Company background and experience in providing digital marketing services, especially for non-profit organizations and Main Streets.
    • Proposed approach and methodology for each service area (digital marketing, social media marketing, email marketing, and website updates).
    • Relevant case studies or examples of past work demonstrating success in similar projects.
    • Proposed timeline and deliverables.
    • Detailed budget breakdown, including any additional costs or fees.
    • Team members’ qualifications and roles in the project.

  5. Proposal Submission: Please submit your proposal electronically to Russell Swanson, Executive Director at rswanson@vinelandcity.org no later than Friday, March 8, 2024.

  6. Evaluation Criteria: Proposals will be evaluated based on the following criteria:
    1. Experience and expertise in digital marketing, social media marketing, email marketing, and website updates.
    2. Quality and relevance of proposed approach and methodology.
    3. Demonstrated success in similar projects, particularly for non-profit organizations and New Jersey Main Street communities.
    4. Cost-effectiveness and value for money.
    5. Team qualifications and capacity to execute the project effectively.

  7. Selection Process: After the submission deadline, selected agencies may be invited for interviews or presentations. The final selection will be based on the evaluation criteria mentioned above.

  8. Confidentiality: All information provided in response to this RFP is confidential and should not be shared or disclosed without explicit permission from Vineland Downtown Improvement District.
